NSW Youth Conference 2008: safety & privacy

privacy

All young people attending the conference get automatic YAPA membership at no extra cost. We send members a monthly newsletter and regular email updates, and we subscribe members to our young people's e-group. YAPA will not overload young people's inboxes, and they can unsubscribe at any time.

YAPA will not disclose young people's contact details to any person or organisation outside YAPA.

YAPA may publish photos, video and audio recordings of people at the conference on our websites and in newsletters, reports etc. Please tick on the booking form or let us know if you do not want photos, video or audio of you used in this way.

 

safety & supervision at the conference

YAPA staff will provide overall supervision of the venue during the conference hours.

Young people will be free to come and go from the conference venue as they wish. YAPA cannot prevent young people from leaving and we cannot keep details of who is on or off site at any time. YAPA will however, expect accompanying adults to take whatever reasonable steps are necessary for the safety of young people they are responsible for.

YAPA will set appropriate conference Rules & Expectations and will require young people, supervisors, presenters and staff to agree to comply with these.

YAPA will comply with current legal requirements regarding Working with Children Checks (child protection background checks) on accompanying adults, presenters and YAPA staff.

travel and overnight accommodation

The conference is not residential. Young people and adults must make their own arrangements for accommodation, dinner and breakfast, or go home each night. Supervision and safety during travel and overnight accommodation are outside YAPA's responsibility and are purely the responsibility of the young person, their parent/guardian, and the accompanying adult if any, except that:

  • If a young person does not arrive at the conference on the first day, YAPA will contact the accompanying adult or the emergency contact person listed on their booking form.

  • If YAPA staff become aware of any concerns about the safety of a young person outside of the conference hours, we will take all reasonable steps within the limits of our role to protect or assist the young person, including contacting the emergency contact person if necessary, and to enforce the conference Rules and Expectations.

first aid & medications

YAPA will have a First Aid Kit on site, as well as staff who hold a current First Aid Certificate. Other than this, YAPA is not responsible for managing medications or other health issues during the conference. Young people with medical needs and their parents and guardians should take this into account in deciding on attendance and supervision.

responsibilities of people at the conference

YAPA conference staff and presenters are responsible for:

  1. checking that the conference activities are safe for conference participants
  2. maintaining a safe, harmonious and positive atmosphere during the conference
  3. implementing and complying with the conference Rules and Expectations.

young people's responsibilities

Young people are responsible for:

  1. informing accompanying adults or YAPA conference staff of any hazards or safety issues they are aware of
  2. helping to maintain a safe, harmonious and positive atmosphere at the conference
  3. complying with the conference Rules and Expectations.

If a young person seriously breaches the Conference Rules & Expectations, YAPA may at its own discretion:

  1. exclude the person from the remainder of the conference and contact their emergency contact person to make any necessary arrangements for their return home.
  2. Contact the Police if it is a criminal matter.

accompanying adults' responsibilities

Accompanying adults are responsible for:

  1. providing an appropriate level of supervision of each young person they are responsible for
  2. informing YAPA conference staff of any hazards or safety issues they are aware of
  3. complying with the conference Rules and Expectations.

If an accompanying adults seriously breaches the Conference Rules & Expectations, YAPA may at its own discretion:

  1. Exclude the adult from the remainder of the conference. We will inform the emergency contact people of the young people they are accompanying.
  2. Inform their employer, either immediately or after the conference, if they are employed to supervise the young people (eg. a youth worker).
  3. Contact the Police if it is a criminal matter.
