This document is an internal policy of YAPA. Use it to help develop your own agency's internal policies. You will have to make changes to suit your own context and any legal requirements which apply to you.
Policy
All written correspondence (ie letter, fax and email) issued by YAPA must reflect the approved policy positions and strategic goals of YAPA.
Procedures
Correspondence issued by YAPA must be approved by the Executive Officer in advance if it is directed to the following
- Current and potential funding bodies
- The media
- Elected members of parliament, local Councillors, political candidates, or political parties.
The Executive Officer may also delegate responsibility for specified correspondence to staff members, as discussed in supervision.
A copy of such correspondence must be kept on file as a hard copy or on the server. Any email should be printed or copied into a word document for these purposes.
