Laptop

This document is an internal policy of YAPA. Use it to help develop your own agency's internal policies. You will have to make changes to suit your own context and any legal requirements which apply to you.

Procedures

Sharing a laptop

  • Staff who lend the laptop to non-staff people must explain and enforce this policy. The laptop is only to be used by non-staff for YAPA business.
  • Shared laptops are to be used as per the internal booking procedure
  • Use of a laptop allocated to a specific staff position is to be negotiated with the staff member concerned.

Care

Treat the laptop with care:

  • Never drop it (eg. don't let it slide off the bonnet of your car!)
  • Never bang it (eg. on a crowded train).
  • Never hold the laptop by its screen.
  • Never move the laptop while it is awake and the lid is open. Only move it when it is asleep.
  • Keep food and drinks away from the laptop. (If you spill liquid on it, immediately unplug the power and stop using it until a service technician has checked it).
  • Only use it with clean, dry hands.
  • Never touch the screen
  • Only clean it in the correct way.

Laptop peripheral equipment

  • Keep all laptop equipment together including bag, power cords, USB memory stick etc.

Security in cars

  • Do not leave the laptop in the heat of the sun (eg. the boot anytime, or anywhere in an empty car)
  • Do not leave the laptop in an empty car visible to thieves
  • Do not be seen putting the laptop into an empty car or the boot.

Security in buildings

  • In the YAPA offices always lock away the laptop whenever the office is unattended.
  • Always hide the laptop when you leave it in any other empty office or house.

Security in planes

  • Do not check in the laptop as luggage. Always carry it on the plane yourself.

Technical security

Always check with YAPA's Communications Officer before you install:

  • software
  • fonts
  • other files other than the usual workplace documents.

Confidential information

Never store confidential information on the laptop, including:

  • employee details including address, phone etc
  • young people's details including address, phone etc
  • any other personal information.
