This document is an internal policy of YAPA. Use it to help develop your own agency's internal policies. You will have to make changes to suit your own context and any legal requirements which apply to you.
Aim
To ensure the effective use of YAPA time and the effective representation of YAPA on committees.
Policy
The Executive Officer must approve all appointments and representations to government and non-government committees.
In most cases the representative will be a paid YAPA staff member however in some instances the representative will be a YAPA board member, YAPA member, young person or youth worker.
All non-staff representatives will be informed about their role on the committee, whether they will be paid and whether they are representing YAPA or are simply recommended by YAPA and can represent their own views.
Those who are representing YAPA must
- be familiar with YAPA Policy Positions and Social Justice framework which relate to the work of the committee and
- articulate these Policy Positions while participating in the committee and
- report back to the YAPA staff team about the work of the committee, eg via staff meetings, written or verbal updates
In considering whether or not to appoint someone to a committee the Executive Officer will consider the:
- Likely impact of participation in the committee v's the amount of work required
- Relevance of the work of the committee to YAPA Key Focus Areas and Annual Strategic Plan
- Experience and expertise of the representative and ability to participate in a formal committee
- Job description (if a staff member)
- Relevant funding agreements and expectations from the Funding Body (especially in relation to YAPA Core funding)
- Workload and availability of the representative
YAPA will not participate in youth service management committees or local area working parties.
A list of current committees will be maintained on the YAPA website and will be reported in the Annual Report and Report on Achievements.
