Signing off documents

This document is an internal policy of YAPA. Use it to help develop your own agency's internal policies. You will have to make changes to suit your own context and any legal requirements which apply to you.

Policy

A record is kept of all documents signed by the Board on behalf of YAPA.

Procedures

When a Board of Management member signs any document on behalf of YAPA an entry is made in the Board Signing Book (red book kept in the Executive Officer's office).

This will include documents such as funding agreements and letter of employment offers.

The entry will include the date, name of document, name and signature of signer and a witness signature of the staff member.

The Board of Management member must sight the document to be signed, and if possible this will be provided in advance. The complete document must be provided, rather than just the signing page.

If requested the staff member will provide a photocopy of the document to the Board member.

A Board member who is under the age of 18 years must not sign any funding or financial agreement on behalf of the organisation.

If a decision is made at the Board of Management meeting for a Board member to sign a document, and this decision is recorded in the minutes, then the signature does not need to be recorded in the Board Signing Book.
